LEAVE BID PROCEDURES

SPECIALISTS WILL BE REQUIRED TO SELECT A MINIMUM OF 50% OF THE VACATION HOURS THE EMPLOYEE WILL ACCRUE IN 2025. SPECIALISTS MAY NOT SELECT HOURS THAT EXCEED THE VACATION AND HOLIDAY HOURS THEY WILL ACCRUE IN 2025.

Specialists will make their selection with Jeff Shepard during their assigned leave selection windows by one of the following methods:

  1. Online at www.flightservicebid.com
  2. In person in Jeff Shepard’s Office
  3. By calling (817) 541-3448

Round 1: December 11-12, 2024

Up to ten (10) consecutive scheduled workdays (80 hours), except during the period from December 22, 2025 through January 4, 2026. If any days you request fall within this period, you will only be able to request five (5) consecutive scheduled workdays (40 hours).

Round 2: December 13 & 18, 2024

Up to ten (10) consecutive scheduled workdays or ten (10) nonconsecutive scheduled workdays (80 hours), except during the period from December 22, 2025 through January 4, 2026. If any days you request fall within this period, you will only be able to request five (5) consecutive scheduled workdays (40 hours).

Round 3: December 19-20, 2024

Up to ten (10) consecutive or nonconsecutive scheduled workdays (80 hours).

ROUND 1 – Bid Order will be Facility Seniority

ROUND 2 – Bid Order will be reverse Facility Seniority

ROUND 3 – Bid Order will be Facility Seniority

2025 Leave Selection Guidelines

  1. A calendar has been created for the time period of January 12, 2025 to January 10, 2026, that indicates the maximum number of specialists that may be on guaranteed leave each day.
  2. The facility leave selection order was determined by mutual agreement to continue the prior years’ process.
  3. There will be three (3) rounds of leave selection.
  4. You may select leave online at www.flightservicebid.com, in person in Jeff Shepard’s office, by calling 817-541-3448.
  5. Specialists may select before their time slot, if everyone ahead of them has already selected or passed.
  6. Specialists may delay their selection to later in that round or pass in any round.
  7. Swapping of leave periods shall not be permitted.
  8. Leave selected in this process will not be guaranteed if a specialist enters into a permanent schedule swap that includes a change of RDO’s after the vacation selection has begun.
  9. Only vacation (VAC) and/or holiday (HLC) leave shall be scheduled, and only up to the amount that will be available on the date(s) requested, not to exceed the total vacation and holiday hours accrued in calendar year 2025.
  10. An individual may cancel their leave selection at any point during the current round and reselect provided:
    1. The time for their bid selection window has not expired and the person below them has not selected;   -OR-
    2. The days being cancelled still had available slots for anyone to pick from;
  11. Once a round has been completed, either by time or the last person has selected:
      1. Leave selection for that round is final and may not be amended or cancelled until after the leave selection process is complete. (This is not meant to include typographical errors by the bid administrator.)
      2. The next round is available for bidding.
  12. In accordance with Article VIII Wages and Benefits, Section 7 of the Collective Bargaining Agreement: “a minimum of 50% of the vacation balance the employee will accrue for the year must be scheduled annually during the prime time leave scheduling process.”
  13. First denied leave requests will not be accepted. When all date slots are full, the date is not available.
  14. Leave requests submitted to management for the 2025 schedule year that are not included in the annual leave selection are subject to operational requirements.
